Missed Call Text Back for Contractors: Setup and Cost

Missed call text back sends a text to anyone you didn't answer, within seconds, from the number they called. For a shop that misses even a few calls a week, it is usually the cheapest fix you can buy. A phone app that includes it starts around $15 a month.

It is not magic. It only works if somebody replies fast to the answers. Here is how it works, what a miss costs you, how to set it up, and what to text.

What missed call text back is

A caller rings your business line. Nobody picks up. A few seconds later their phone buzzes with a text from that same number, something like "Sorry we missed you, what do you need?" They reply with the job. The reply shows up in your shared inbox or in your field-service tool.

Carly's explainer (October 2026) makes the point that matters: the text goes out from the number the caller dialed, so they recognize it. Most tools send one fixed message and leave the conversation to your team.

Why bother? Most callers don't leave voicemail. A 2026 stats roundup from Hicira cites Invoca data that fewer than 3% of callers sent to voicemail leave a message. The same page cites Invoca saying 27% of inbound calls to home service businesses go unanswered, and that 35 to 40% of contractor calls come after hours. Those numbers are secondhand and based on 2024 data, so treat them as a range, not gospel. Your own call log is better.

The math on one missed call

You will see "$1,200 per missed call" all over vendor sites. Hicira attributes it to Invoca and says HVAC replacements can top $3,500. I don't trust one flat number across trades. A drain clearing and a furnace replacement are different animals. Run your own.

The formula:

missed calls a month × share that were new customers wanting work × close rate × average ticket = revenue walking out the door

Example (my numbers, swap in yours):

  1. You miss 40 calls a month. Check your phone bill or call log.
  2. Half, 20 calls, are new customers wanting a job. The rest are vendors, wrong numbers and existing customers.
  3. You close 60% of booking calls you answer. That is 12 jobs.
  4. Average ticket is $450. That is $5,400 a month in revenue, or $64,800 a year.
  5. At 40% gross margin, you left about $2,160 in gross profit a month on the table.

Now say text back wins back only 1 in 4 of those lost jobs. That is 3 jobs, $1,350 in revenue and $540 in gross profit a month. Against a $15 to $23 phone plan, that pays for itself in the first week. Against a $300 platform, it pays for itself if you are an HVAC or roofing shop where one job is worth thousands.

What recovery rate should you plan on? Some vendors claim 25 to 45% of missed calls turn into booked jobs or quotes. One agency's write-up says that, and it sells the service, so I wouldn't plan on it. I'd budget 10 to 20% and track it for 30 days. Count the replies, the jobs booked and the dollars.

How to set it up in tools you already use

The rule: the missed call has to hit a number your system can see. If customers dial a tech's personal cell, no software knows it was missed. Put your published business number on a platform first.

If you run Jobber

The sources disagree on what Jobber includes, so don't take my word or theirs.

My advice: open your Jobber settings, or call support and ask three questions. Does my plan text back missed calls? What does it cost? What does the text say? Write down the answers and the date.

If you run Housecall Pro

A pricing roundup from advai says Housecall Pro's pricing page doesn't state whether text-back is included. Housecall Pro has an AI add-on called HCP Assist, and its help center describes a post-call inbox that texts you when a message needs action. I couldn't confirm price, or whether every missed caller gets a text. Ask your rep for both before you pay.

If you run ServiceTitan

ServiceTitan's help pages say Phones is included in most premium plans, and they list Second Chance Leads, which recovers missed calls that didn't end in a booking. Start by asking your rep what is already switched on. Texting through ServiceTitan also requires business SMS registration, per the same page.

If you want more, Contact Center Pro can roll an unanswered call from the CSR queue to dispatch after 30 seconds, then to a manager's cell, per ServiceTitan's webinar recap. ServiceTitan says Bonney Plumbing saw 60% fewer missed calls and 11% more bookings. That is the vendor's own case study. Pricing isn't published.

If you just need a better phone

This is the cheapest route for a small shop. Quo (formerly OpenPhone) lists auto-replies in its Starter plan, and its autoresponder page describes a missed-call auto-reply. Steps:

  1. Sign up and pick the number your customers already dial. Ask support how to move (port) your existing number and how long it takes.
  2. Add your office and any tech who answers calls as users.
  3. Find the auto-reply setting for that number and choose "missed calls."
  4. Paste one of the templates below. Put your company name in it.
  5. Register for business texting (next section).
  6. Call yourself from another phone, let it ring out, and see what arrives.

If you want the conversation handled for you

Most tools above send one fixed text and stop. The reply still waits for someone in the office. SavedJob is built for exactly this gap. Full disclosure: it's mine. When you can't pick up, its AI texts the caller back right away and keeps the conversation going until your team takes over, so the job doesn't go to the next shop on Google. It's $149 a month. It makes sense if your problem is slow replies, not just the first text.

If you use GoHighLevel

Octacs' guide says it has a built-in toggle under Settings, then Business Profile, labeled Missed Call Text Back. Omni Online Strategies describes a workflow version using the "Missed Call" trigger. It is more flexible and more to learn. I'd skip it unless you already pay for it.

Two chores that vendors bury.

Register for business texting. US carriers block business texts from unregistered local numbers. The system is called A2P 10DLC. TextSpot lists $19 one time ($4 brand, $15 campaign) and two to three days for brand approval. smrtPhone adds $1.50 to $10 a month per campaign. Fees vary by provider. A rejection can add weeks, MessageIQ says one to four. Your provider usually walks you through it. Have your legal business name and tax ID handy.

Consent. Quo's TCPA guide says that if a customer contacts you first, that counts as implied consent and you can reply. Keep the text about their request. No coupons in the first message. Honor STOP. I'm not a lawyer.

Three texts that book the job

Keep them short. One GoHighLevel guide suggests under 160 characters so the text doesn't split in two. Two questions at most. And never promise a callback time you can't keep.

1. Daytime, you're on a job

Hi, it's Mike at Ridgeline Plumbing. Sorry we missed you. What's going on, and what's your ZIP? We'll text back within 15 minutes with a time.

It asks for the problem and the location, which tells you if you serve the area and what truck to send.

2. After hours, with an emergency path

Ridgeline Heating here. We're closed. No heat or water you can't shut off? Reply EMERGENCY and our on-call tech will text in 10 minutes. Otherwise reply with your ZIP and we'll book you at 7:30.

Only use the 10-minute line if someone is really on call. For a gas smell, the caller should leave the house and call 911 or the gas company. Consider adding that line.

3. Schedule is full, offer two slots

Ridgeline Electric here, sorry we missed you. We're booked today but have Wed 8-10 or Thu 1-3. Reply 1 or 2 and you're on the schedule. What do you need done?

Two choices beat "when works for you?" Callers reply with a number instead of writing a paragraph. If your tool supports a booking link, you can swap in the link instead.

Prices as of October 2026

I didn't get quotes from vendors. These come from the sources linked, published in September and October 2026 unless noted. Confirm before you buy.

Option What you get Price
Quo Phone app with auto-replies Starter $15, Business $23, Scale $35 per user a month, billed annually. Starter is $19 monthly
Jobber Field-service tool, one user Core $29, Connect $99, Grow $149 a month annually. $49, $139, $199 month to month. Text-back: see above
Housecall Pro Field-service tool Basic $59, Essentials $149, Max $299 a month annually. $79, $189, $329 monthly
ServiceTitan Phones, Second Chance Leads Not published
GoHighLevel CRM, workflows, texting Reported $97 to $297 a month (roughly May 2026 source)
Podium Phones, inbox, text-back About $399 a month reported. Another listing says from $250. Quote-based
SavedJob (mine) AI texts back and keeps the conversation going $149 a month
Smith.ai Answers the call AI from $150 a month for 75 calls. Human receptionists from $300 for 30 calls

Two cautions. Field-service plans are priced for the whole platform, not for text-back. Annual billing is the headline price on most of these, and month to month costs more. Jobber says annual payments are non-refundable, per one pricing review, so only prepay once you've tested.

What it won't do, and who should skip it

Skip it if a live person already answers 95% of your calls and you have a call log to prove it. Also skip it if you're about to switch field-service tools. Pick the phone setup after.

Bottom line

Count your missed calls for one week. Multiply by your close rate and ticket. If the number is over a few hundred dollars a month, turn on a text back this week. A $15 to $23 phone plan or a feature you already own is enough to start. If nobody in the office has time to keep up with the replies, that's the job SavedJob does.

Register your number, paste in template 1 or 3, call yourself to test it, and track replies for 30 days. Step up to an AI receptionist only if the emergency calls justify it.

FAQ

What is missed call text back?

It is a phone feature that sends an automatic text to a caller seconds after you miss their call. The text comes from the number they dialed, so their reply lands in your business inbox and not on someone's personal cell.

Is missed call text back legal for contractors?

Texting someone who just called you is generally treated as having implied consent, because they started the contact. Keep the first text to the job itself, leave out promotions, and honor STOP replies. I'm not a lawyer, so check the details with yours.

How much does missed call text back cost?

As of October 2026, a phone app with auto-replies starts around $15 to $19 per user per month. All-in-one platforms run roughly $97 to $297 a month, and AI receptionists that answer the call run more. Registering your number for business texting adds roughly $19 one time plus a small monthly fee.

Does missed call text back replace an answering service?

No. It acknowledges the caller and starts a conversation, but a person still has to reply. If you get emergency calls at night, you still need an on-call tech or a service that picks up.
